Receptionist/Office Assistant

  • Working Hours: Monday to Friday – 9:00am to 5:00pm – 37.5 hours
  • This role is permanently based in the Orbital office.
  • This position reports to: Accounts Assistant

Primary Duties

  • Manage incoming calls via the switchboard; transfer calls accordingly, take messages etc.
  • Meet and greet visitors: ensure signing in, offer refreshments, relay relevant H&S induction for their safety whilst on site etc.
  • Coordinate the booking of meeting rooms.
  • Arrange daily lunch orders and buffets when required for meetings.
  • Distribute incoming post and frank all out-going post.
  • Stationary control and ordering.
  • General administration duties including producing purchase orders and order acknowledgements, typing, photocopying, filing etc.
  • Maintain a tidy and presentable Reception area.
  • Providing support to the Sales and Service team on customer quotations, invoicing, hotel bookings and expenses.
  • Supporting the Products Department as required.
  • Supporting the Finance & Service departments as required.
  • Co-ordinate vehicle leases/rentals and fuel cards.

Secondary Duties

  • Any other ad-hoc Admin-related duties within skillset.

Essential Skills

  • Excellent written/verbal communication and inter-personal skills.
  • Conscientious approach and the ability to work well under pressure.
  • Ability to work in an effective manner, both alone and as part of a team.
  • PC literate and ability to use Microsoft Office packages.

Desirable Skills

  • Previous Reception or Administration-related experience.
  • NVQ Level 2 or 3 in Business Administration.
